NewLatinBizz Limited is a New Zealand-based accounting, tax and business support firm. We provide services to individuals, sole traders, contractors, businesses and international companies operating or planning to operate in New Zealand.
As part of our services, we may collect and handle personal, financial, accounting and tax information relating to our clients. This Privacy Policy explains how we collect, use, store, protect and, where appropriate, share that information in accordance with our legal and professional obligations in New Zealand.

This reflects the data minimisation principle under the Privacy Act 2020, which requires personal information to be collected only where it is necessary for a lawful purpose connected with the organisation’s activities.

We may collect your information directly from you when you complete forms, contact us by email, phone or other means, attend meetings with us, or provide documents in connection with the delivery of our services.
We may also receive information from third parties or authorised sources where this is necessary to provide our services, meet legal obligations or verify information relating to accounting, tax, business or AML/CFT matters.
Where personal information is obtained from a source other than you, we will handle it in accordance with the Privacy Act 2020 and other applicable legal requirements in New Zealand.

4. How We Use Your Information

We use the information we collect only for purposes related to our services, business operations and compliance with our legal and professional obligations. This may include:
- providing accounting, tax and business support services;
- preparing and managing information required for obligations with Inland Revenue, ACC or other agencies where applicable;
- maintaining accounting, tax and administrative records;
- managing payroll and employee-related obligations where these form part of our services;
- carrying out identity verification and other procedures required under AML/CFT legislation;
- communicating with you about our services, requests for information, deadlines or matters relating to your account;
- managing our professional relationship, invoicing and internal records;
- complying with legal, regulatory and professional obligations, or requirements from competent authorities;
- improving the administration, security and operation of our services and systems.

We will not use your personal information for purposes that are incompatible with those for which it was collected, unless we have your authorisation or there is another lawful basis that permits or requires that use.

We treat our clients’ information as confidential and do not share it unless this is necessary to provide our services, you have authorised us to do so, or a legal or professional obligation permits or requires disclosure.
In general, the Privacy Act 2020 limits the disclosure of personal information to the purpose for which it was collected, directly related purposes, disclosures authorised by the individual, or other circumstances permitted by law.
Where appropriate, we may share information with:
- Inland Revenue, ACC and other public authorities or agencies where this is necessary to manage our clients’ obligations or matters;
- software, storage, communications or technology service providers used in the delivery and administration of our services;
- professional advisers, contractors or service providers supporting our operations and subject to confidentiality obligations;
- competent authorities where there is a legal, regulatory or professional obligation to provide information;
- other individuals or organisations where you have expressly authorised us to do so.
If it is necessary to disclose personal information to an entity outside New Zealand, we will take reasonable steps to do so in accordance with the applicable requirements of the Privacy Act 2020 and with appropriate safeguards for the protection of that information. Principle 12 of the Privacy Act sets specific requirements for overseas disclosures.

6. Storage and Security

We take reasonable steps to protect the personal and business information we hold against loss, unauthorised access, misuse, modification or unauthorised disclosure. This may include access controls, security measures within our systems, internal procedures and the use of appropriate technology providers.
The Privacy Act 2020 requires organisations to take reasonable safeguards appropriate to the circumstances.
Information may be stored in electronic systems, accounting platforms, cloud services, email and, where applicable, physical records. Where we use external providers to store or process information, we take reasonable steps to ensure appropriate measures are in place to protect against unauthorised access or use.
We retain information only for as long as necessary for the purposes for which it may lawfully be used and to meet applicable legal, regulatory or professional obligations. The Privacy Act 2020 requires personal information not to be kept for longer than necessary, although certain accounting, tax or AML/CFT obligations may require specific retention periods.

7. Accessing or Correcting Your Information

You have the right to request access to the personal information we hold about you and, where appropriate, to request that it be corrected. The Privacy Act 2020 provides for both of these rights.
If you believe the information we hold is incorrect, incomplete, out of date or misleading, you may ask us to review or correct it. Where we do not make a requested correction, you may ask us to attach a statement to our records setting out the correction you consider necessary.

8. Cookies and Website Use

Our website may use technical cookies or other technologies that are necessary for the proper operation, security and functionality of certain tools or forms.
We do not currently intentionally use cookies for personalised advertising or commercial user tracking. If we introduce tools in the future that use these types of technologies, we will update this Privacy Policy as appropriate.

We may update this Privacy Policy from time to time to reflect changes to our services, systems, internal practices or applicable legal and regulatory requirements.
